ROLE – Office Coordinator

You Will: 

 

  • Record keeping: Organizing and maintaining physical and digital files, ensuring accuracy and accessibility of important documents. 
  • Manage accounts payable: Providing vendor payment updates, paying carriers, and approving bills, upselling quick pays
  • Manage accounts receivable: Invoicing clients, requesting payment dates, receiving payments 
  • Communication Management: Answering phones, managing emails and mail, and coordinating communication between different departments or individuals.
  • Meeting and event coordination: Scheduling and organizing meetings, coordinating logistics for events, and ensuring smooth execution. 
  • Help with office stocking and ordering of supplies 
  • Assist with business reports
  • Assist with HubSpot (data clean-up, pulling sales data, lead gen) 
  • Assist with Marketing initiatives (creating content, pulling website analytics, etc)
  • Ad hoc and miscellaneous projects that may arise 

 

 

What we are looking for: 

  • Bachelor’s degree
  • Ability to manage multiple tasks, prioritize effectively and maintain a well-organized work environment 
  • Attention to details: ensuring accuracy in all tasks 
  • Ability to identify and resolve issues to office operations, equipment and communication 
  • Proficiency in Excel, Quickbooks Online and Canva
