Anchor Behavioral Solutions (ABS) is seeking an ambitious and motivated Administrative Assistant to support a variety of critical administrative functions within our main office. This position plays a vital role in ensuring smooth day-to-day operations by managing communication, organizing office activities, assisting staff, and supporting billing processes. The Administrative Assistant will be a central point of contact for staff and visitors and will contribute to the organization’s efficiency and professionalism.

Responsibilities

Administrative Support:

  • Provide general administrative support to ensure smooth office operations

  • Answer phones, route calls, and respond to inquiries professionally

  • Prepare and distribute correspondence, memos, emails, letters, forms, and faxes

  • Manage calendars, schedule meetings, and take detailed meeting minutes

  • Act as a point of contact for staff, guests, and visitors

  • Liaise with executive and senior administrative staff to support organizational goals

  • Maintain confidentiality and handle sensitive information appropriately

  • Order and maintain office supplies and inventory

  • Perform preventative maintenance on equipment and manage repair need

  • Support recruitment and clerical tasks as needed

  • Complete additional tasks and projects as assigned by management

Communication:

  • Exhibit professional and polite communication via phone, email, and mail

  • Answer questions and fulfill requests from both internal and external contacts
    Effectively interact with employees at all levels and external stakeholders

Billing Functions:

  • Prepare and process invoices for customers

  • Review billing adjustments and resubmit claims when necessary

  • Log payments received and maintain up-to-date financial records

  • Update billing addresses and contact customers as needed

  • Complete data entry and maintain Excel spreadsheets for billing

  • Communicate effectively with department leads involved in billing operations

Position Type

  • Full-time

  • On-site, based at the main administrative office

Preferred Availability

Monday – Friday, 9:00 AM – 5:00 PM
Flexibility may be required for occasional after-hours administrative needs

Required Skills and Qualifications

  • Proven administrative experience

  • Superb written and verbal communication skills

  • Strong time-management skills and multitasking ability

  • Aptitude for learning new software, systems, and processes

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Access)

  • Strong organizational skills and attention to detail

  • Ability to work independently and maintain confidentiality

  • Outgoing, professional demeanor with excellent interpersonal skills

  • Effective time-management and problem-solving abilities

  • Previous successful experience in an office environment
    Ability to collaborate with all levels of staff

  • Bilingual in English & Spanish (preferred)
